Agreement to Terms

By accessing and using the ash-cypress website and services, you agree to be bound by these Terms of Use. If you do not agree with any part of these terms, you must not use our website or services.

These terms apply to all visitors, users, and others who access our vehicle rental services.

Rental Eligibility

To rent a vehicle from ash-cypress, you must:

  • Be at least 25 years of age
  • Hold a valid UK or international driving licence for a minimum of 3 years
  • Provide a valid credit card for security deposit purposes
  • Provide proof of address dated within the last 3 months
  • Meet our insurance eligibility requirements
  • Have a clean driving record with no major endorsements

We reserve the right to refuse rental to any individual who does not meet these criteria or whose driving history suggests unacceptable risk.

Booking and Payment

Booking Process

Submitting a booking request through our website does not guarantee vehicle availability. All bookings are subject to confirmation by ash-cypress.

Payment Terms

  • Payment must be made in full before vehicle collection
  • We accept major credit cards and bank transfers
  • A security deposit of £500 is required and will be authorised on your credit card
  • The security deposit is released 5-7 business days after vehicle return, subject to inspection

Cancellation Policy

  • Free cancellation up to 48 hours before scheduled collection
  • Cancellations within 48 hours: 50% of rental fee charged
  • No-show or same-day cancellation: full rental fee charged

Vehicle Use and Restrictions

Permitted Use

Vehicles may only be used for lawful purposes within the United Kingdom. You agree to:

  • Operate the vehicle safely and in compliance with all traffic laws
  • Use the vehicle only for personal or business transport
  • Maintain the vehicle in reasonable condition
  • Return the vehicle with the same fuel level as provided

Prohibited Activities

The following activities are strictly prohibited:

  • Driving under the influence of alcohol or drugs
  • Using the vehicle for racing, rallying, or competitive events
  • Subletting or transferring the rental to another person
  • Using the vehicle to transport illegal substances or goods
  • Driving the vehicle outside the United Kingdom without prior written consent
  • Operating the vehicle on unpaved roads or off-road terrain
  • Exceeding manufacturer-recommended load capacity

Insurance and Liability

Insurance Coverage

All rentals include comprehensive insurance with the following coverage:

  • Third-party liability coverage as required by UK law
  • Collision damage waiver (excess applies)
  • Theft protection (excess applies)

The standard excess is £1,000. Reduced excess options are available at additional cost.

Your Liability

You are responsible for:

  • Payment of the insurance excess for any damage or loss
  • Full cost of damage resulting from prohibited use
  • Parking fines, traffic violations, and congestion charges incurred during rental
  • Loss or damage to keys, documents, or vehicle equipment
  • Costs arising from incorrect fuel type

Vehicle Collection and Return

Collection

  • Vehicles are collected from our Marylebone location during business hours
  • Delivery within Central London (Zones 1-2) can be arranged for an additional fee
  • You must present all required documents at collection
  • A thorough vehicle inspection will be conducted before handover

Return

  • Vehicles must be returned on or before the agreed return date and time
  • Late returns incur additional charges at the daily rate plus 25%
  • The vehicle must be returned in the same condition as provided
  • Fuel level must match the level at collection

Maintenance and Breakdown

If the vehicle experiences mechanical issues during your rental:

  • Contact our 24-hour support line immediately
  • Do not attempt repairs yourself
  • We will arrange recovery and provide a replacement vehicle where possible
  • Maintenance issues resulting from neglect or misuse are your responsibility

Accidents and Damage

In the event of an accident or damage:

  • Contact emergency services if anyone is injured
  • Notify us within 2 hours of the incident
  • Obtain details of all parties involved and any witnesses
  • Do not admit liability at the scene
  • Complete our incident report form within 24 hours
  • Cooperate fully with insurance investigators

Data Protection

We process your personal data in accordance with our Privacy Policy and applicable data protection laws. By using our services, you consent to this processing.

Limitation of Liability

To the fullest extent permitted by law:

  • We are not liable for indirect, consequential, or incidental damages
  • Our total liability is limited to the amount paid for the rental
  • We are not responsible for loss of business, profits, or opportunity
  • Nothing in these terms limits liability for death or personal injury caused by negligence

Modifications to Terms

We reserve the right to modify these Terms of Use at any time. Changes will be effective immediately upon posting to this website. Your continued use of our services after changes are posted constitutes acceptance of the modified terms.

Governing Law

These Terms of Use are governed by the laws of England and Wales. Any disputes arising from these terms or your use of our services will be subject to the exclusive jurisdiction of the courts of England and Wales.
